Your child's information
What we collect: We collect the parent's account and subscription details, and the information the parent chooses to add about each child, including their first name, age, intake answers, check-ins, reports, Book notes and photos.
Why we use it: Family and child information is used to choose activities, draft private reports and build the child's Book.
Who sees it: Family information is private to the signed-in family. Our service providers process only what is needed to run the app and send emails. Our team accesses it only when needed for support or maintenance.
How to delete it: Email hello@theprocessartacademy.com to ask us to delete an account or child profile. You can also unsubscribe from non-essential emails at any time.
1. What we collect
We collect your email, account details, subscription status, and the information you enter about your child (name, age, developmental focus, intake answers, daily check-ins, and uploaded photos). Your child's record is only visible to your family account.
2. How we use it
We use this information to choose daily activities, generate your private reports, email your next activity, and keep a record of your child's growth in the Book. We do not sell data or use it for advertising.
2a. Automated processing (AI)
Your reports are drafted with the help of an AI language model. To do this we send your intake answers, your baseline ratings, and your child's first name and pronouns to our AI provider for processing. We do not send your email address, billing details or account identifiers. The provider processes this on our behalf and is not permitted to use it to train their models.
3. Photos and media
Photos uploaded to the Book are stored in a private storage bucket. They are only accessible to signed-in members of your family account. We strip location metadata from photo uploads before storage.
4. Emails
We send account, welcome, daily activity, and billing emails to the address you provide. You can unsubscribe from non-essential emails using the link in each message, or contact us to update your preferences.
5. Who can see your data
Your family data is kept separate from every other family by strict database rules. Our team can only access it when needed for support or platform maintenance, and only after confirming account ownership.
6. Storage and deletion
Data is stored securely in Australia via our backend provider. If you delete your account or a child profile, we remove the associated records and media in line with our data-retention policy.
